Those who are interested in joining Brown Bear Trails pvt.ltd , must follow the rules and norms as per the company’s policy. As Brown Bear is a native company of Nepal established 10 years ago. But the guides and staff have more than decades of experience in tourism running successful trips all around the Himalayas. Likewise in Nepal, Bhutan, Tibet, and around North East and Western India, Ladakh, Sikkim, and Darjeeling.

For every trip to make it a winner and successful, where clients’ support and understanding are needed. In this case please read and understand the Terms & Conditions set by Brown Bear Trails Treks & Expeditions. So that there will be no doubt, confusion, or misunderstanding after booking the trips and joining for a wonderful holiday.

All Trips are with well-planned Itineraries:
Brown Bear Trails Trails pvt.ltd ,welcomes you with great pleasure and trust that you enjoy our wide range of Himalayan Holidays within Nepal and other neighboring countries Bhutan, Tibet, and Northern West and East India.

All our treks and tour including climbing peaks itineraries are based on accommodations in respective tourist standard Hotels in cities like Kathmandu-Pokhara or Nepalgunj as per the program chosen. Full support on camping treks around remote areas as per the trip selected.

Some of the days can be long or could be shorter depending upon the client’s fitness and as well itinerary days mentioned sometimes availability of vehicles on time, flight delay, cancellation, unfavorable bad weather, and roads or trail condition can hamper our trip itinerary and beyond our control.

In such situations, your selected tour and destinations might differ from the program itineraries. In rare cases, we might even have to reroute or cancel the trips as per the political, riot, bad weather, broken road or trail condition, and porter’s situation and condition.
If this condition happens by surprise and at sudden moments, please bear with us. We will try our best to adjust the itinerary trips as best as possible for your convenience.

The company has the right to cancel the trips due to unavoidable conditions beyond our control. Including the volume of fewer travelers than expected as per the trips selected.

TRAVEL & MEDICAL INSURANCE:
We highly suggest and recommend every client on booking to purchase Travel and Medical Insurance, which is a must and compulsory when undertaking any tour and treks or climbing peaks.

The medical should cover injury, accidents, medical expenses, and repatriation expenses. Covering all personal transportation on emergency evacuation such as helicopter services and adequate coverage for misplaced or lost baggage.

The payment for the due amount of your holiday/trip at payment on trip brief time .

If you choose to settle your holiday balance by credit card a handling charge of 3-4 % on the outstanding balance is made.

There is no handling charge for payment by bank transfer.
Last Hour Booking:
We accept your last-hour booking on the eve of trip departure with 100 % payment (07 days before the tour starting date only for Nepal Trips, but trips in Bhutan, Tibet and India will not be accepted as this requires at least two weeks in advance before trip departure around neighboring countries.

TRIPS CANCELLATION POLICY:
After making a booking with us, some may be compelled to cancel the trip due to personal or domestic circumstances include sudden medical, health, and job situations as well as some other reasons, in this case, a 25 % cancellation fee is applied if clients have notified us or our abroad agent a minimum of a month in advance before our trip departure dates.

A 50 % cancellation fee is applied on 2 weeks to a month’s notice.
No refund at the last minute or a no-show situation.

If the clients have to return or break earlier from the tour, trekking / or any other trips due to medical/physical or personal problems. The clients have to borne own expenses on the return route to Kathmandu or in any other final destinations before international flight departure.

There are no refunds if the company has to reroute to other areas due to unavoidable circumstances and bad weather.

In such conditions, the company holds the right and finally assures you of providing you with a hassle-free adventure holiday and the most enjoyable trip of your lifetime.

CLIENT RESPONSIBILITY:
Our tour escort/trekking guide representing the company holds the rights with all authority during treks and tours.
If you behave badly with a negative attitude and commit any unlawful act, you are compelled to leave the tour/trekking. No refund will be made in such a condition.

NEPAL VISA & PASSPORT CONDITION:
All clients must have a valid passport at least six months validity from the return date. Nepal visas can be obtained from the Nepal Consulate or Embassy abroad in your home country or upon arrival at Kathmandu Tribhuvan International Airport, where the costs of Nepalese visas are the sole responsibility of clients.

CANCELLATION & BOOKING CHANGES FOR BHUTAN, TIBET, AND INDIA:
01: For the above mention countries, requires a minimum of 30 days of cancellation notice before trip departure. It must be in written form, such notice will be implied from the day the note is received. Cancellation shall be valid after the company’s approval on receiving the documentation. The Trip shall then be termed as canceled and then 50% of the trip amount would be deducted from the advance paid as a cancellation charge.

02: There will be no refunds if a passenger cancels the trip or leaves a trip for any reason whatsoever, either voluntarily, involuntarily or if you commit any unlawful act after the trip has commenced. We will make no refunds for any meals, accommodation, or services not used.

03: Should you require other changes to your original tour, the person that booked the tour must submit a written document with the changes you require, every effort will be made, and changes cannot be guaranteed.

04: If you are compelled to cancel from traveling on the tour by genuine reason or circumstances. For example, injury or any serious illness of the person, close relative or friends, redundancy, or jury service. In this case, one may postpone or transfer your booking to another close person, as long or provided they meet all the requirements relating to that trip.

You are requested to provide proof of why you were unable to travel at the time and need to change your booking.

05: On the last hour of trip departure if you are prevented to quit from the chosen tour, unfortunately, there is no refund. The Bhutan, Tibet, and Indian Government has strict Tourism act and policies.

For Bhutan, Tibet & India, book in advance a month before the trip departures around these countries chosen.

HEALTH & FITNESS:
In all our Trekking, Climbing, and Tours one should be in good health with a level of fitness before signing and booking with us. Client requires to check with your local Doctor or Physician regarding your health and fitness before the trip departs to the following destinations chosen.

It’s solely the client’s responsibility to inform the company of any pre-existing medical condition or disability that might reasonably be expected to increase the risk of your required medical attention, which may affect your capability to travel on the trips booked with us.

CHILDREN:
An authorized guardian by the parents must accompany all travelers under the age of sixteen, if you have any queries regarding age and suitability, please contact us for further information.

ELDERLY PERSON:
We allow a person in good health and physically fit for 60-70 years of age if can get insurance coverage. Depending upon the trip chosen with Brown Bear Trails pvt.ltd .
PUBLICITY:
Please note that you agree and allow permitting Brown Bear Trails pvt.ltd .
might use your pictures, photos, or images taken during the trip without informing you and as well with no compensation, to promote and as well advertise only through whatever medium might take place.

CHANGES TO YOUR HOLIDAY AND TRIP COST:
While joining us requires flexibility, a positive attitude good humor, and understanding. Besides in some cases transportation, accommodation and itineraries may change, even after the tour has commenced, without prior notice due to local circumstances such as flight delay, cancellation or postponement, road blocks due to riots, and political crises in this situation please bear with us when things are beyond our control.

WEATHER:
Himalayan regions can leads to unpredictable circumstances such as landslides, road blockage, flood, snow, political unrest, delayed arrival, etc.
The company will not be unable to refund any payment under the above circumstances due to prior supplier arrangements. If possible we will always endeavor to provide you with an alternative or substitute trip of the same category.

Brown Bear Trails pvt .ltd does not accept any responsibility for loss on delays or cancellation with compensation resulting from such situations beyond our control.

Our holidays, and tour/trek packages, are based on twin share accommodation. Thus, a single room supplement charge will be imposed on clients who do not have another tour participant to share accommodation with.

We reserve the right to revise pricing rates posted in our marketing material, under any circumstances, or under the pressure of various external factors that are further than our control, for instance, changes in the exchange rate, government action, etc.

PRIVACY:
To collect information from you the company may ask a few questions to obtain necessary permits etc.

No private or personal information that you supply to us when making a booking will be disclosed for any other purposes.

RISK & LIABILITIES:
We are committed to providing the best quality services; performing our duties honestly & responsibly to make your journey very smooth & pleasant. However, the entire program is conducted strictly under the rules and regulations of the respective country’s policies.

Brown Bear Trails Pvt.ltd and our related organization shall not be responsible for any changes in the itinerary due to unavoidable circumstances such as govt. restriction, land slide, road blockage, flood, snow political unrest, cancellation of flight, delay, sickness, or accident, any extra cost incurred thereof shall be borne by the clients on the spots.
